EQUIPMENT USAGE POLICIES FOR THE NJIT COMMUNITY

HOURS OF OPERATION
From September through May, ITMS Offices are open Monday - Friday
from 8:30 AM-
9:30 PM, and Saturdays from 8:30 AM till 2 PM, when classes are in
session. When classes are not in session, our office hours are Monday-Friday
from 8:30 AM-4:30 PM
During summer hours, ITMS Offices are open Monday - Thursday from
8:30 AM-9:30 PM when classes are in session. .When classes are not
in session, our office hours are Monday-Thursday from 8:30 AM-5:00
PM
GENERAL POLICIES
Requesting Equipment
ITMS requires a minimum of 48 hours notice for regular equipment delivery
requests, and 24 hours for sign-out requests. Special Event requests
(i.e.
Departmental Meetings, Conferences, Symposiums, PA systems, Video Recordings
etc) require a minimum of 1 weeks notice.
All regular requests should be submitted by using our on-line request
system at
http://itms-request.njit.edu.
If a request can not be entered on-line, please send an e-mail to itms@njit.edu.
Requests for equipment deliveries must be by a NJIT Faculty or Staff
member. We do not accept delivery requests directly from students.
Students may request sign-out equipment from ITMS, and pick it up
from GITC 0300 with a valid student ID. Certain items will require
an e-mail or memo on NJIT letterhead from a faculty or staff member
in order to have access to the equipment.
All requests will be filled on a first come first serve basis. Due
to inventory limitations, we recommend you schedule equipment needs
as early as
possible.
Same day equipment requests are accommodated by users signing out
the needed equipment from our offices at GITC 0300. Please note that
during peak times, certain items may not be available for sign-out.
All equipment becomes the responsibility of the requestor for the
duration of the period requested. If the equipment is lost or damaged,
ITMS will chargeback the cost of repair or replacement to the requestor's
department.
Classroom Deliveries
Equipment deliveries for regularly scheduled classes are provided from
8:30 am until 8:00 PM, and equipment pickups until 9:30 PM weekdays. Saturday
delivery hours for regularly scheduled classes are 8:30 AM until 2:00
PM. (Regularly scheduled classes are defined as any class which is listed
on the NJIT Registrar’s course schedule for Fall, Spring or Summer
Sessions.) Equipment can be signed out of the ITMS office after 8:30 AM
and must be returned no later than 9:30 PM weekdays, and 4:00 PM Saturdays.
Requests for equipment deliveries earlier then 8:30 will be considered
a special event and subject to a minimum labor charge of $35
Equipment delivered to labs and conference rooms must be available for
pickup at the designated pickup time. If ITMS cannot access these rooms,
we cannot deliver equipment to them, and the equipment will have to be
picked up from our offices at GITC 0300.
Equipment typically will not be delivered overnight to any location. If
you have a special need, which requires this, please contact us at itms@njit.edu
. Equipment delivered under these circumstances becomes the responsibility
of the requesting department. Replacement or repair will be charged to
that department.
Some deliveries may be subject to cancellation if the building’s
elevators are not operational
No equipment may be kept by a requester past its originally scheduled
time without special permission. In many cases another user needs
it immediately after your scheduled use.
All equipment which is delivered by Instructional Technology and Media
Services becomes the responsibility of the requestor for the duration
of the period requested. If the equipment is lost or damaged, Instructional
Technology and Media Services will chargeback the cost of repair or
replacement
to the requestor's department.
Restricted Locations
Smartcarts
Smartcarts are only available for delivery in Cullimore Hall Rooms
110, 111, LH1, LH2, LH3, and Kupfrian Hall (except the Learning Center).
ALL other classrooms with projectors installed, including the additional
learning spaces in Cullimore, will require a notebook computer
to be used.
The following locations are not available
for general classroom deliveries and any
request for a delivery to these locations will be considered
a special event.

Departmental Requests
All departmental requests are considered Special Events.
However, equipment deliveries for administrative and departmental meetings,
for
equipment in locations
we typically
deliver
to, will
be
provided at no
charge during
regular hours when classes are in session if itms recieves 1 weeks notice.
Due to inventory and staff limitations, these requests will be delivered
before
or after
our
regularly
scheduled classroom deliveries are completed. When classes are not in
session, there will be a labor charge for these types of deliveries.
ITMS
must have access to conference rooms at the time of the attempted delivery.
If a delivery is attempted and access is not available, the equipment
will be returned to the ITMS storeroom.
Special Events
Special Events will be subject to a minimum labor charge of $35
for any requests requiring equipment delivery or setup.
Equipment deliveries for Special Lectures, Conferences, Symposiums,
and other such events may be subject to a minimum labor charge depending
on the availability of resources.
Equipment, which is in our regular inventory, will be provided at
no charge for NJIT related functions. If a request is received and
the equipment is not available, we can rent it for you and charge
the costs back your department or organization.
Outside groups wishing to use ITMS will be charged for equipment and
labor costs on a daily basis. Please e-mail itms@njit.edu

Sign-out equipment
No equipment may be kept by a requester past its originally scheduled
time without special permission. In many cases another user needs
it immediately.
All equipment which is signed out becomes the responsibility of
the requestor for the duration of the period requested. If the equipment
is lost or damaged ITMS will chargeback the cost of repair or replacement
to the requestor's department. Repeated failures to return equipment
at the scheduled time will result in the revocation of borrowing
privileges.
